Workspace Spotlight is available from workspace-level pages. When you are inside a project, the sidebar search changes to project search instead.
Open Workspace Spotlight
Select Search Workspace below the workspace selector. If the sidebar is collapsed, select the search icon.
Enter a name, number, email address, vendor, or description.
Select a result to open it.
You can also press Command + K on a Mac or Ctrl + K on Windows.
Use the up and down arrow keys to move through the results, then press Enter to open the selected result. Press Escape to close Spotlight.
What you can search
Spotlight searches these fields:
Active projects: project name, alias, and tags
Purchase orders: PO number, title, vendor, and notes
Transactions: description
Documents: filename and description
Contacts: name, email, company, and display title
The label on the right side of each result identifies its type. Contact results may show the contact type, while document results may show the document classification.
Spotlight shows up to 10 matches for each result type. Purchase order search uses the first 200 purchase orders available to you in workspace sort order.
Open a result
Selecting a project opens that project's main page.
Selecting a purchase order, transaction, document, or contact opens its detail panel without leaving the current workspace page.
Close the detail panel to return to the workspace page.
Search results and access
Spotlight only returns records available through your workspace and project access. A member with access to selected projects will not receive transaction, document, or contact results from other projects.
Document results also require document-search access. If you can use Workspace Spotlight but documents do not appear, your current access may not include document search.
If Search Workspace is locked, Workspace Spotlight is not available for your current workspace access.
