Understanding Saturation Expense Cards
Saturation Visa expense cards (also known as P-cards in the industry) are cards that debit and draw down directly from your Saturation Pay account. These cards give your team controlled spending power while maintaining complete oversight and automatic budget integration.

Issuing New Cards
How to Issue a Card:
Go to your workspace Banking section and click on Funds
Click the "Move Money" button and select "Issue Card"
Fill out the card configuration details
Review settings and click "Issue"
Required Information:
Card Name: Create a descriptive name for the card (e.g., "Art Department Card," "Wardrobe Expenses," "Location Meals")
Cardholder:
Select an existing contact from your workspace
Create a new contact and invite them via email
One cardholder can have multiple cards for different projects
Project Assignment (Optional):
Issue for a specific project (transactions auto-assign to that project)
Issue for workspace use (can be used across multiple projects)
Project assignment affects automatic budget categorization
Card Types and Options
Physical Cards:
Real plastic Visa cards delivered to specified address
Work anywhere Visa cards are accepted
Multiple shipping options:
Standard: Free shipping
Express: $15 expedited shipping
Priority: $30 fastest shipping
Virtual Cards:
Available immediately after issuing
Compatible with Apple Pay, Google Wallet, and other major mobile wallets
Perfect for online purchases and immediate use
Can be used while waiting for physical card delivery
Setting Spending Limits
Limit Types:
Amount Limits:
Set maximum spending with flexible timeframes:
Daily: Maximum per day
Weekly: Maximum per week
Monthly: Maximum per month
Yearly: Maximum per year
Transaction: Maximum per single transaction
No Limit: Unlimited spending (up to account balance)
Category Limits:
Restrict cards to specific merchant categories using preset merchant category codes:
Restaurants and food service
Gas stations and automotive
Equipment rental companies
Office supplies and hardware
Hotels and lodging
Airlines and travel
Many other standard merchant categories
Project Limits:
When cards are assigned to projects, spending is automatically limited by the project allocation amount.
Automatic Budget Integration
Auto-Actualization:
Cards can automatically categorize transactions to specific budget line items:
When issuing the card, select a budget category
All transactions from that card automatically assign to the chosen category
Budget actuals update in real-time as purchases are made
No manual categorization required for routine expenses

Card Activation Process
Cardholder Activation:
Cardholder receives email notification when card is issued
They click the activation link in the email
Log into Saturation and accept card terms of service
Card becomes active and ready to use
Important Notes:
Cards must be activated within 48 hours of issuance
Only the cardholder can activate their card
If not activated within 48 hours, a new card must be issued
Admins cannot activate cards on behalf of cardholders
What Cardholders See:
After activation, cardholders can access:
Card details and numbers
Current spending limits and remaining amounts
Transaction history
Receipt upload functionality
Managing Existing Cards
Viewing Cards:
Navigate to the workspace Cards page to see all issued cards with:
Card names and cardholders
Current spending and limits
Transaction history
Card status (active, deactivated)
Editing Card Details:
Click the three dots menu next to any card and select "Edit Card" to modify:
Card name
Project assignment
Spending limits and categories
All changes take effect immediately
Temporary Card Management:
Deactivate: Temporarily disable the card (can be reactivated)
Reactivate: Re-enable a deactivated card
Use deactivate/reactivate as a "freeze" function for temporary control
Deactivating and Replacing Cards
Permanent Deactivation:
Click the three dots menu and select "Cancel" to permanently disable a card:
Card stops working immediately
Cannot be reactivated once cancelled
Use for terminated employees or permanent removal
Lost or Stolen Cards:
Immediately deactivate the card to prevent unauthorized use
Issue a new card to the same cardholder if needed
New card will have different numbers for security
Card Replacement:
If a cardholder needs a replacement card:
Deactivate the current card
Issue a new card with the same or updated settings
Cardholder must activate the new card within 48 hours
Troubleshooting Card Issues
Card Activation Problems:
Verify cardholder clicked the link within 48 hours
Check that cardholder can log into Saturation successfully
Ensure activation email wasn't filtered to spam
If timeout occurred, issue a new card
Card Declined Transactions:
Check remaining spending limits (daily, weekly, monthly)
Verify merchant category is allowed
Confirm sufficient funds in account or project allocation
Review if card is still active and not deactivated
Spending Limit Issues:
Verify current limit settings match intended restrictions
Check if multiple limit types are conflicting
Confirm project allocation hasn't been exceeded
Remember limits reset based on their timeframe (daily, weekly, etc.)
Missing Transaction Categories:
Verify project assignment and auto-actualization settings
Check that budget category still exists in the project
Ensure transactions are from the correct card
Manual categorization may be needed for some transaction types
Cardholder Access Problems:
Confirm cardholder has been properly invited to workspace/project
Verify they have appropriate role permissions
Check that card is assigned to correct project
Ensure cardholder accepted workspace and project invitations
Virtual Card Mobile Wallet Issues:
Verify mobile wallet app is updated to latest version
Check that virtual card is active and not expired
Confirm mobile device supports the wallet type
Try removing and re-adding card to mobile wallet
